ActiveArchive is the most advanced archiving service for SAP Knowledge Management.

SAP Knowledge Management (KM) is a very powerful full featured knowledge management system allowing users to easily manage content by uploading, commenting, rating and sharing documents. As users continue to use KM, many of the documents become outdated. As documents become outdated they are not relevant to users and become a hindrance to finding important information. Dealing with outdated documents can be problematic due to the amount of documents and the determination of which documents need to be preserved or simply deleted.

With ActiveArchive, you can easily and effectively manage your KM folders by having ActiveArchive search your documents and either move the document to an archive folder or simply delete it. ActiveArchive does this by inspecting all your documents and evaluating specific tags that determine the appropriate action to be executed. This automates the process and allows content managers to tag documents with the appropriate life span.

ActiveArchive also prepares reports for content managers. Reports are sent nightly that alert content managers with the content that is subject to archiving or deletion. This approach allows content managers to proactively monitor and change document settings if the document should be preserved longer.

ActiveArchive can also improve system performance. KM repositories can become overrun with outdated content that is not relevant to users and can cause processing delays attributed to the larger size of the content database. With ActiveArchive, you can archive content to other repositories and depending on the type of content, it can be deleted altogether.
